Electronic invoicing - general information
It is our pleasure to inform customers that Malév Hungarian Airlines now issues e-Invoices for all electronic tickets purchased online. The e-Invoice is easily downloaded from the Malév website by simply clicking on a link given in the e-mail we send you. This saves all the time and trouble of keeping a check on invoices.
The Malév client interface takes into account all possible e-Invoice-related requirements of passengers. Unlike many other service providers, Malév not only complies with statutory invoicing provisions but it also allows the issued e-Invoice to be downloaded in two additional formats: in user-friendly pdf and in xml format supporting computer processing.
e-Invoice
The e-Invoice is an accounting document issued in electronic form with at minimum a secure electronic signature and timestamp and which meets all other valid legal provisions on invoices (see below). In most cases, private persons will not actually need this invoice. However, if you wish simply to view the invoice it is easiest to download the unsigned file in pdf format.
N.B. The e-Invoice is considered a legitimate accounting document for taxpayers (companies and individual entrepreneurs) only when it is archived in electronic form. In other words, the tax authorities will not accept as valid an e-Invoice that has simply been printed out and filed on paper.
In order to make it easier to process e-Invoices through accounting systems, the invoice can be downloaded in xml format as well, which is compatible with the majority of accounting programs. However, here too it is important to stress the necessity of downloading the electronically signed es3 file too, since only this version is recognized as an authorized electronic invoice.
The name of the issued and downloadable invoice file (.es3 document) always includes the serial number of the invoice (first 20 characters) followed by a random identification line (second 20 characters), which blocks unauthorized access to the document.
Invoicing information and accessing the e-Invoice - Guide to filling out the form
If you wish to receive an invoice suitable for tax administration identification and cost settlement purposes for the air ticket(s) you purchased you must complete the invoice name and address details. The e-Invoice will show the data given here, and once the transaction is concluded there is no possibility of modifying this data. For this reason, you should know whether your company/employer is able to charge the cost of your travel before you make the booking.
If you are buying your air ticket as a private person (i.e. your flight is not being paid for by a company), then there is no need to fill out the invoice name and address fields. The system will automatically make out the e-Invoice to your postal address.
We issue only one invoice for every reservation, so if several people who are travelling together require separate invoices for different companies, then the group cannot appear on a single reservation. In other words, a separate reservation has to be made (separate payment for air ticket/s initiated) for each invoice.
Malév Hungarian Airlines issues an electronic invoice for every reservation in which the customer requests issuance of an electronic ticket. Details on accessing this e-Invoice as well as other important information is sent to the e-mail address given during the booking procedure (see example below). The e-mail is generally sent within 24 hours of a confirmed reservation. If you have any questions/problems with regard to the e-Invoice, please do not hesitate to contact Malév Service Centre.
Technical and legal background
Malév private limited company (Malév Zrt.) (hereinafter, Malév Hungarian Airlines) issues exclusively electronic invoices for e-tickets sold over the Internet. Once the reservation is confirmed, the e-Invoice can be downloaded from the link given in the e-mail (subject: e-Invoice) sent to the customer. A program for signature certification can be downloaded from the website address given in the same e-mail.
The downloaded es3 file is the authorized electronic invoice issued by Malév Hungarian Airlines. On the basis of Hungarian legal regulations currently in force (Article 43. Paragraph (7) of Act LXXIV of 1992 on General Turnover Taxation, Act XXXV of 2001 on Electronic Signatures, Act C of 2000 on Accounting, and Ministry of Finance Decree 20/2004 on Electronic Accounts), the requirement to issue an invoice can also be complied with through issuance of an electronic invoice. A condition of issuance of an e-Invoice is the prior consent of the customer, which is given at the time of making an online purchase (without this consent, it is not possible to buy an air ticket via the Internet).
The electronic invoice downloadable in compliance with the provisions of relevant legal regulations is a specially formatted file containing:
- a pdf document presenting a traditional image of the invoice issued by Malév Hungarian Airlines (in compliance with criteria on invoice format as per Article 13. Paragraph (1) 16 of Act LXXIV of 1992),
- and the signature created using invoice document PKI (Public Key Infrastructure) technology in accordance with the abovementioned legal regulations, furthermore the timestamp certifying the date of signing.
Malév Hungarian Airlines uses secure business certification to create the signature. The electronic invoice file also includes the complete source certification chain of the certificate used for the signature, and the relevant accessible Certificate Revocation Lists (CRL).
The recipient party is under an obligation to preserve the electronic invoice (similarly to paper-based invoices) if they are used for accounting. Legal regulations define the term of retention (10 years), and that the invoice has to be preserved in the original format of issuance i.e. electronic invoices must be archived exclusively in electronic form. If so called upon by the tax authorities, the customer must be able to present the e-Invoice in electronic form.
If the customer wishes to check the authenticity of the attached invoice, it is necessary to install the free E-szignó program, which can be downloaded here.
After installing the program:
- the e-Invoice .es3 file can be opened;
- its content (invoice image) can be viewed (this requires Acrobat Reader version 7);
- the authenticity of the invoice's electronic signature and integrity can be checked.
